1. Who we are

This privacy policy is issued by Seycode, a software development and systems consultancy based in Pretoria, South Africa (“Seycode”, “we”, “us” or “our”).

Seycode designs, develops and maintains custom business software, auction systems, integrations and related technical support. This policy explains how we handle personal information when you visit seycode.africa, contact us, or work with us.

2. What this policy covers

This policy applies to personal information processed in connection with:

• this website;
• enquiries and conversations started by email, telephone or WhatsApp;
• client work, proposals, invoicing and ongoing support;
• business and development accounts used to deliver that work.

Software products delivered for a client, including BidFactory and other systems we build or host for a client, may process that client’s own customer data. In those cases the client is usually the responsible party for that data. This policy covers Seycode’s own business, not every end-user of a client system.

3. How we communicate

Seycode does not market itself through volume. We do not:

• send mass or unsolicited email;
• send mass or unsolicited WhatsApp messages;
• run social media advertising or promotional campaigns about Seycode;
• buy, rent or scrape contact lists;
• add people to a marketing database after they visit this website.

We connect with people who have asked to be contacted, or who already have a working relationship with us. Typical contact happens by email or WhatsApp, at the person’s request. If you write to us, we may reply on the same channel, or on another channel you have given us, in order to continue that conversation.

Once you are a client, we may contact you about the work itself — support, maintenance, invoices, security matters and operational questions. That is part of the service relationship, not advertising.

4. Business and development accounts

For the purpose of carrying on business, Seycode holds professional and development accounts. These may include email, WhatsApp Business, telephone, hosting, source-control, cloud, app-store, payment and similar technical accounts, as well as profiles on platforms used during software development and client delivery.

Those accounts exist so we can build, test, host, support and communicate about real work. They are not used for mass advertising, bulk messaging or social-media promotion of Seycode.

5. Information we collect

The information we hold depends on how you deal with us. It may include:

• identity and contact details: name, business name, role, email address, telephone number and WhatsApp number;
• the content of your messages, including project background, files and requirements you choose to send;
• meeting, call and support notes needed to do the work;
• billing and contract details, such as invoicing contacts, addresses and payment references;
• technical information automatically received when you visit this website, such as IP address, browser type, device type, referring page and basic server logs;
• credentials or access details you supply so we can work on a system, which we treat as confidential.

This website does not have an account system, newsletter signup or contact form. If you do not contact us, we do not create a client record about you from a website visit alone.

6. How we collect it

We collect personal information in these ways:

• directly from you, when you email us, call us, message us on WhatsApp, or meet with us;
• from people acting for you, such as a colleague who introduces the work;
• from our website host and related technical services, as ordinary server logs;
• from you during a project, including information needed to design, build, host or support software.

We do not collect personal information through advertising pixels, remarketing tags or social-media tracking campaigns.

7. How we use it

We use personal information only for the purpose for which it was given, or a closely related purpose. That includes:

• replying to an enquiry you started;
• understanding a business problem and deciding whether we can help;
• preparing proposals, agreements and invoices;
• designing, building, hosting, securing and supporting software;
• keeping a record of the client relationship;
• meeting tax, accounting and other legal duties;
• protecting the security of our systems and our clients’ systems.

We do not sell personal information. We do not use it to build marketing lists. We do not use it to advertise Seycode on social media or through bulk messaging.

8. Lawful basis

Seycode is based in South Africa and processes personal information in line with the Protection of Personal Information Act, 4 of 2013 (POPIA). Depending on the situation, we rely on one or more of the following:

• your request or consent, when you contact us and ask us to reply;
• a contract, or steps needed before a contract, when we quote for or deliver work;
• a legitimate interest in running a discreet professional practice, keeping records and securing systems, where that does not override your rights;
• a legal obligation, for example tax and accounting records.

9. Who we share it with

We share personal information only where it is necessary to reply to you or to deliver the work. That may include:

• communication providers you choose to use, such as WhatsApp / Meta and your or our email providers;
• hosting, domain, cloud, source-control and similar technical operators used to run this website or a client system;
• payment, banking and accounting providers used for invoices;
• professional advisers, such as an attorney or accountant, where the matter requires it;
• authorities, if the law requires disclosure.

We do not share contact details with advertisers, list brokers or social-media promotion services. Anyone who handles information for us is expected to keep it confidential and use it only for the agreed purpose.

10. This website, fonts and technical data

This website is a static information site. It does not use advertising cookies, analytics dashboards or marketing trackers.

Like most websites, the host may record ordinary technical logs (for example IP address, date and time, requested page and browser) to operate, secure and diagnose the site. Those logs are used for technical purposes, not to profile visitors for advertising.

The site loads fonts from Google Fonts. Google may receive your IP address and related technical data when those files are requested. That processing is governed by Google’s own terms and privacy policy.

Links to third-party sites, including BidFactory and WhatsApp, are outside this website. Their operators handle information under their own policies.

11. Email, WhatsApp and other platforms

If you contact us by email or WhatsApp, the conversation travels through those services. WhatsApp is operated by Meta Platforms. Message content, your number and related metadata are subject to WhatsApp’s and Meta’s terms and privacy policies, which may involve processing outside South Africa.

We cannot control those platforms. By choosing to write to us on a channel, you accept that the channel’s operator will process the communication. If you prefer not to use WhatsApp, email admin@seycode.africa or call 087 802 9717.

12. Storage and cross-border processing

Information may be stored in South Africa and, where a service we use is hosted abroad, in other countries. That is typical for email, WhatsApp, cloud hosting and development tools.

Where information is transferred outside South Africa, we take reasonable steps to work with reputable operators and to keep the transfer aligned with POPIA, including the purpose for which you gave us the information.

13. How long we keep it

We keep personal information only for as long as it is needed:

• enquiry messages: for as long as needed to reply and to decide whether work will follow, then for a short reference period unless you ask us to delete them sooner;
• client and project records: for the life of the relationship and for a reasonable period afterwards, so we can support the system and answer later questions;
• invoices and accounting records: for the period required by South African tax and company law, commonly at least five years;
• website server logs: for a limited technical period set by the host.

When information is no longer needed, we delete or irreversibly de-identify it, unless the law requires us to keep it.

14. Security

We take reasonable technical and organisational steps to protect personal information against loss, misuse and unauthorised access. That includes limiting access to people who need it for the work, using reputable service providers, and treating client systems and credentials as confidential.

No method of transmission or storage is completely secure. If we become aware of a security compromise that affects your personal information, we will notify you and the Information Regulator as required by law.

15. Your rights

If we hold your personal information, you may ask us to:

• confirm whether we hold it;
• provide a record of it, subject to the law;
• correct or update it;
• delete it, where we are not required to keep it;
• object to our using it, including any use you believe is not in line with this policy.

Send the request to admin@seycode.africa. We may need to verify who you are before we act. We will respond within a reasonable time, and in any event as required by POPIA.

16. Children

Seycode’s services are offered to businesses and adult decision-makers. We do not knowingly collect personal information from children. If you believe a child has sent us personal information, contact us and we will delete it.

17. Changes to this policy

We may update this policy when our practices or the law change. The updated version will be published on this page with a new “last updated” date. Continued use of the website or continued contact with us after a change means you should read the current version.
